Microsoft 365 for the office and the floor

Most Norcross businesses already pay for Microsoft 365, but only the office staff get much out of it. Set up properly, it can reach every shift without paying full price for every worker.

Two kinds of users, one tenant

A Norcross distributor or plant usually has two groups of people. Office staff work on laptops all day and need full email, Office apps, file storage and Teams. Warehouse and production workers may only need to check a schedule, read a safety notice, clock in through an app or message a supervisor. Treating everyone the same either wastes money on licenses nobody uses or leaves floor workers out entirely.

Microsoft sells frontline licenses, such as Microsoft 365 F1 and F3, for exactly this split. We look at what each role does and match it to the right plan. Then we set up the rest:

  • Email: Exchange Online with filtering, and shared mailboxes for orders, shipping, receiving and accounts payable, so customer and vendor mail doesn't sit in one person's inbox.
  • Files: SharePoint and Teams sites for each department, with permissions set so the floor sees procedures and schedules, not payroll and pricing.
  • Teams for shifts: channels for each shift or building, a shift schedule where it fits, and announcements that reach phones and shared screens.
  • Security: MFA, conditional access, blocked legacy sign-ins and alerts on risky activity.
  • Domain records: SPF, DKIM and DMARC set correctly for your email domain.

Language tools that are already included

Teams can translate chat messages and show live translated captions in meetings, depending on your licenses. For a crew that reads Spanish or Vietnamese more easily than English, that can make a short safety meeting or a schedule change clearer. We switch on the features your licenses include and show supervisors how to use them. These tools help, but they aren't perfect, so important policies still deserve a reviewed translation from someone on your team.

Shared and dedicated devices

Shared PCs at packing stations and handheld Android scanners need different handling from personal laptops. Microsoft Intune can enroll Windows PCs and Android Enterprise devices in a locked-down mode that runs only the apps a role needs. Workers sign in and out quickly, settings stay consistent and a lost or broken unit is replaced without rebuilding it by hand. Office laptops are enrolled too, so a new hire's computer arrives ready on day one.

Moving off the server in the back

Plenty of Norcross offices still keep an aging server in a closet or at the end of a warehouse aisle, sometimes near a loading door where dust and heat are hard on hardware. It may hold shared files, user logins and an inventory or accounting database. If it fails, orders stop.

Files and logins usually move to Microsoft 365 and Entra ID without much trouble. Line-of-business systems are a separate decision. Some warehouse, ERP and accounting systems now run as cloud services from their vendors. Others still need a server, on site or hosted. We review each application with its vendor and plan the move in stages, with a tested way back if anything goes wrong.

Microsoft keeps its service running. Protecting your own data from deletion, ransomware and departing staff is your job. Our plans include a separate Microsoft 365 backup for that reason.

Internet becomes the critical link

Once email, files and maybe your ERP live in the cloud, an internet outage stops work. Sites along I-85, Jimmy Carter Boulevard and Peachtree Industrial often have a choice of wired providers. We help you pick a primary connection and add a second provider or a cellular backup where the cost of downtime justifies it.

After the move

We handle new hires and departures, review license counts every quarter, watch sign-in alerts and keep up with Microsoft's frequent changes. When you open a second building or add a shift, the accounts, devices and channels are ready before people arrive. If you use Google Workspace today, we support that too, and we'll only suggest a move when the reasons are clear: your software, your customers or your compliance needs.

Questions about microsoft 365 & cloud

Do warehouse workers need a full Microsoft 365 license?

Often not. Frontline plans such as F1 or F3 cover workers who mainly use a phone or shared device. We look at each role and recommend the lowest license that does the job.

Can Teams translate messages for our staff?

Teams can translate chat messages and, with the right licenses, show translated live captions in meetings. We turn on what you have and show supervisors how to use it.
